Chateau Retirement Office Adminstrator
Come join one of the most vibrant and successful teams working in new residential construction and operations on Seattle’s Eastside. The important and engaging role of Office Administrator is instrumental in helping to provide administrative support in achieving goals and objectives set forth by the Project Executives.
See list of duties below:
- Order and maintain all office supplies; set up and maintain project files
- Ensure current insurance certificates for all subcontractors working on site are in the project files
- Maintain confidentiality in all matters
- Maintain Project Outlook calendar with project staff vacation dates, schedule/confirm meeting dates, etc. Arrange travel, hotel, and car reservations and prepare itineraries. Set-up for meetings (coffee, lunch, etc.)
- Answer phones and promptly direct calls to the respective individuals
- Photocopying, filing, and sending faxes
- Other duties as assigned
Accounting Duties:
- Perform various account analysis and reconciliation
- Complete Accounts Payable (A/P) function
- Accounts Receivable (A/R) as assigned
- Process vendor/subcontractor invoices for payment
- Prepare control documents for use in reconciling payables and receivable transactions
- Collect costs to various collection levels,, such as account, unit and work order
- Other accounting duties as assigned
Other Admin Duties:
- Administrative support to executives (word processing, meeting coordination, correspondence preparation and proposals, manage team calendars, coordinate some travel, etc.)
- General office duties such as helping with phone and other communication systems, office equipment, and mail
